Customer Service Administrator (Fixed-Term)

Saint-Gobain Ghana is seeking a highly organised, customer-focused, and proactive Customer Service Administrator to join our team in Accra on a contract basis. This role plays a critical part in ensuring the smooth day-to-day operation of the office while delivering exceptional service to customers, employees, and external stakeholders. The successful candidate will be responsible for a broad range of administrative, customer service, HR support, and office coordination activities, serving as the first point of contact for visitors and customers while supporting key business functions across the organisation.

This role will be a 12 month fixed-term contract.

Administrative and Office Management

  • Manage the front desk and ensure professional reception of visitors and guests.
  • Coordinate incoming and outgoing correspondence and maintain accurate records.
  • Maintain effective filing systems and office documentation.
  • Monitor and replenish office supplies to ensure uninterrupted operations.
  • Coordinate travel arrangements, including visa applications, accommodation bookings, flight reservations, and airport transfers.
  • Organize and coordinate company meetings, events, and administrative activities.
  • Support the preparation of reports, presentations, and other business documents.

Customer Service Management

  • Serve as the first point of contact for walk-in customers and visitors.
  • Provide prompt, professional, and courteous customer service.
  • Respond to customer inquiries and direct requests to the appropriate departments.
  • Support the resolution of customer complaints and service-related issues.
  • Assist in customer satisfaction surveys and customer service improvement initiatives.
  • Work closely with the Marketing team to support customer engagement activities.

Human Resources and Operational Support

  • Coordinate onboarding and induction activities for new employees.
  • Assist with employee records management and HR documentation.
  • Prepare attendance reports and staff communications as required.
  • Support employee engagement and welfare initiatives.

Systems and Compliance Administration

  • Maintain accurate employee and administrative records within company systems.
  • Process and track E-VAT invoices and related documentation.
  • Ensure compliance with company policies and administrative procedures.
  • Coordinate updates and maintenance of office equipment and spare laptops.
  • Support internal audits and administrative compliance requirements.
  • Ensure confidentiality and security of company records and information.

Event and Stakeholder Coordination

  • Coordinate internal meetings, training sessions, and company events.
  • Liaise with vendors, service providers, and external stakeholders.
  • Support the planning and execution of employee engagement activities.
  • Maintain positive relationships with customers, employees, and external partners.

Minimum requirements

  • Degree or Diploma in Business Administration
  • 2-3 years' relevant work experience in a similar role
  • Experience in front desk or office administration handling reception, correspondence, and filing systems.
  • Experience providing in-person customer service as a first point of contact for visitors or walk-in customers.
  • Must be located in commutable distance to Spintex Accra, Greater Accra Region
  • Experience coordinating travel logistics, including visas, accommodation, and flight bookings.
  • Experience in preparing business documents such as reports and presentations.
  • Experience maintaining administrative and financial records in company systems, including invoice processing and compliance documentation.
  • Experience organizing internal meetings, company events, and liaising with vendors or external service providers.
